Creating a New Reliance Agreement

Getting Started

Use this guide to establish a new Reliance Agreement with external parties (such as legal conveyancers, real estate agents, or accountants). This facilitates the secure sharing of customer identification and verification information between organizations, speeds up compliance operations, and helps manage regulatory liabilities, whether you are using a digital template or uploading a manually signed document.

Step-by-Step Instructions

  1. From the Compliance Centre, select the Reliance agreements tab.

  2. Click the green + New agreement button on the right side of the page.

  3. Review your organisation's details in the "Confirm your details" section. These details will be displayed on the Agreement. To update any details (such as the signatory name or email address), click the Edit link, make your changes, and click Save.

  4. Select your role (Reliance provider if you are providing the verified customer data, or Relying party if you are receiving and relying upon the verified customer data), and click Next.

  5. On the "Other party" screen, select the counterparty's industry (Legal and conveyancing, Real Estate Agent, or Accounting) and search for the organisation by typing their name into the search bar and clicking Search. Note: All three sector options are currently selectable, but only a Legal and conveyancing firm acting as Reliance provider with a Real Estate Agent as Relying party is fully functional today. Other combinations (Accounting or Real Estate Agent as Provider, or agreements between two Legal and conveyancing firms) can be created and sent, but the data will not be shared. Support for these is planned for a future release.

  6. Select the organisation from the list to automatically pre-fill their details and then click Continue. If no matching organisation is found, click the create a new party link. Fill in the required details, click Enter manually to input their address (selecting either the Street Address or PO Box tab), and click Next.

  7. Review Party details and make any necessary changes. The Representative is the signing party to the Agreement. To add additional signatories to the Agreement, click Add signer, enter their Name and Email and then click Next.

  8. Select your Agreement method:

    • choose the Use InfoTrack reliance template for an electronic signature workflow; or
    • Upload manually if you have a pre-existing signed agreement (this is available only when in the role of Reliance provider).
  9. If using the template, you can click the blue Preview link to review the terms and contents of the document before sending.

    1. Select the Agreement term (6, 12, or 18 months). This automatically calculates the Expiry date. The system defaults to a 12-month term based on standard recommendations.
  10. Click Send agreement (or Confirm) to finalise and send the agreement (or click Cancel to exit without saving). Once sent, the agreement will be placed in a "Pending Signing" status until the other party reviews and completes their action. Once successfully created, the new agreement will appear in your dashboard active list.

Can real estate agents initiate agreements with lawyers? Yes, both lawyers/conveyancers and real estate agents can search for each other in the system to initiate a new reliance agreement.

What file types are supported for the manual upload of the Reliance Agreement? You can upload a PDF or DOCX file.

Troubleshooting Tips

My firm's details are incorrect on the agreement. Before confirming the agreement, make sure to thoroughly review the "My firm's details" section. You can edit this information directly in the pop-up window so the correct details are passed onto the final agreement.
