Editing staff details to resolve Staff Onboarding validation errors

Introduction

This article explains how to resolve validation errors that can occur during the staff onboarding process. Errors or warnings can appear if essential information (for example, a surname, date of birth, or mobile number) is missing or invalid.

Common validation errors and warnings

You may see a message similar to:

“Please fix the following validation errors before ordering: Invalid name, Surname is required.”

You may also see a warning near the staff member’s contact details, such as “Mobile number missing”.

Steps: fix the issue by editing staff details

Option 1: Edit details proactively (for example, when you see “Mobile number missing”)

  1. From the Staff onboarding dashboard, open the staff member’s onboarding page (for example, click Onboard).
  2. On the onboarding page, locate the staff member’s contact details at the top.
  3. If a warning such as “Mobile number missing” is visible, select the warning and/or click the pencil icon next to the contact details.
  4. The Edit staff details pop-up window will appear.
  5. Fill in or update the required fields (for example First name, Middle name, Surname, Date of birth, Mobile number, or Email address).
  6. Click Save.
  7. A notification will confirm the details have been updated successfully, and the new details will be reflected on the onboarding page.

Option 2: Edit details after a validation error appears when ordering checks

  1. From the Staff onboarding dashboard, open the staff member’s onboarding page (for example, click Onboard).
  2. Click Order to begin the due diligence process.
  3. If a validation error appears, you must update the staff member’s details before you can continue.
  4. On the onboarding page, click the pencil icon next to the staff member’s name/contact details.
  5. The Edit staff details pop-up window will appear.
  6. Update the required information.
  7. Click Save to apply the changes.
  8. A notification will confirm the details have been updated successfully.
  9. Return to the onboarding page and click Order again to proceed.

Permissions note

If you are not a Compliance Officer or Admin, you may see a warning message indicating you do not have authorisation to edit another staff member’s details. If this happens, contact your Admin or Compliance Officer to make the required changes.
