When to Use This

Use this guide when a screening check returns a Profiles Found status and you need to review the potential matches to determine if they relate to the individual you are checking (staff member or client).

Before you start (where to find the Review button)

You can access the screening check review from wherever you initiated the check.

  • Staff onboarding (Personnel Due Diligence / PDD): Open the staff member’s Personnel Due Diligence (PDD) page, find PEPs, Sanctions and Adverse media, and click Review.

  • Other workflows: Locate the individual/check in the Compliance Centre and click Review next to the screening check results.

Step-by-Step Instructions

  1. Once a search returns results, note the number of profiles found and click the Review button.

  2. On the review page, you will see a list of potential matches. Each entry includes key details such as name, date of birth, match categories, gender, country of origin, and confidence level. To dismiss false positives, tick the checkboxes next to their names and click No matches or Resolve Matches.

  3. If none of the profiles match the person you are looking for, carefully compare the profile details against the information you have for the individual, then click the No matches button to indicate that no relevant matches were found.

    • After you click No matches, you’ll be returned to the previous page (for example, the staff member’s PDD page), and the screening check status will update to COMPLETED.
  4. If you want to investigate one or more profiles further, tick the checkboxes next to the relevant profiles.

  5. Click Request profiles.

  6. The status will change back to In Progress. Click the Review button next to each requested profile.

  7. Examine the detailed report/data provided for the individual. Carefully compare details such as names, locations, and risk categories against the client's actual record. This data may also include relationships, adverse media notes, or watch list information.

  8. Click the To review dropdown and select either Is a match or Not a match based on your findings.

  9. Use the Back button to return to the previous page (for example, the PDD page), and confirm the status has updated to reflect your selection (for example, Not a match), then repeat this process for any other profiles you requested.

  10. Once all requested profiles have been reviewed and assigned a match status, the overall check status will update to Completed. This officially signs off on the individual background check, protects client integrity, and ensures compliance standards are met.

  11. If you need to check additional profiles from the initial search, click View all profiles to return to the list and request more.

Common Questions

  • What if no profiles are found? If the search returns no profiles, you do not need to take any action; the status will complete automatically.

  • What if none of the listed profiles match my client or staff member? You can click No matches on the review screen to dismiss all results.

Troubleshooting Tips

  • I selected the wrong match status: You can change the status of a profile at any time by going back into the profile review screen and selecting a different option from the dropdown menu.

  • I need to review more profiles after finishing: Click View all profiles to return to the full list of results and request additional profiles for review.
